Minutes of the May 3, 2004 Meeting

President Susan R called the meeting to order at 7:05.

There were no corrections to the April 2004 minutes as printed in the May newsletter. A motion was made to accept the April minutes, seconded by Nancy S. The motion passed.

Treasurer's Report

Total net worth as of today is $5,245.26.

This consists of the following accounts:

Checking Account - $9.25
Savings Account - $1,231.00
Certificate of Deposit - $3,978.23
Petty Cash - $10.00
Stamps - $16.78

Activity since the last report on April 5 was as follows:

Memberships - $20 (Two renewals)
Interest Earned - $4 (Interest on Savings)

Expenses of $1225:

Scholarships - $800 (Two $400 UWRF scholarships)
Plant Sale Costs - $387 (6 print calculators, markers, sticks, etc)
Plant Sale Postage - $52 (Mail 225 plant sale postcards)
Postage - $18 (May newsletters + UWRF letter)
Print & Copy Costs - $18 (May newsletter production)
Speaker fees - $50 (April speaker less than expected)

Year-to-Date vs. Budget:
Income: Slightly below Plan due to membership at 48 vs Plan of 50.
Expenses: Community Benefits has approximately $400 unspent to date, $20 for Share the Bounty,$100 for Habitat for Humanity, and $100 for community project. We have overspent on Plant Sale Costs to take advantage of discount for buying the plastic plant sticks in bulk (10 vs. 2), which is about 75% of the $200 over budget. We also purchased 6 printing calculators and 12 rolls of paper for them for a total of $106 after a $30 rebate.

Year-to-Date vs. Last Year:
Income: Just about even with last year.
Expenses: We spent $200 more on tree maintenance in Heritage Park this year. We haven't yet written the check for Share the Bounty ($150 last year at this time). This year we spent $260 on two large smokestack bricks not incurred last year. Plant Sale costs are about $300 higher due to bulk purchase of plastic sticks and the purchase of 6 printing calculators.

Old Business

Plant Sale
Items discussed regarding the plant sale.

The date of the plant sale has been changed to Saturday, May 22. The date was May 15 but was just changed to May 22.
The posters which had a May 15 date need to be removed and replaced with new May 22 posters.
The sign-up list for the plant sale is being passed around in case people need to change what they signed for with helping with the plant sale.
Helpers at the check-out are still needed during the plant sale.
Refer to the directions printed in the April newsletter or on the webpage at (http://www.mannfarm.net/gardenclub/saleinfo.htm) on how to mark plants for the sale.
Judy J made recommendation for future plant sales. While she was at a plant sale in Colorado, all the plants were marked with different colored sticks. Each color indicated a different price. The club will consider this idea for future sales.
Jennifer J will feature the plant sale and the garden club in an upcoming newspaper column.
On the Saturday of the plant sale, we need to get the plants out of the Armory as soon as possible as there is going to be a wedding later that night. There will be Guardsmen available to help us take down the tables.
Usually all the clean-up is done by 1:30 on Saturday.
Members must have their current 2004 RFGC card at the door to get into the plant sale early.
Table set on Friday, May 21 is at 3pm.
Ursula will be available, but not necessarily in the building, to let people into the Armory as late as 10pm on Friday night.

Ron Z has extra soil test bags if members need them.

There was a motion to adjourn the meeting. The motion was seconded and the meeting adjourned at 7:30.
