June 2, 2003 Minutes
River Falls Garden Club
by Kim K

President Anne K called the meeting to order at 7:08. Anne asked if there were any additions to the May minutes. No corrections, thus the minutes stand as printed.

Treasurer's Report
Treasurer May W reported that the gross sales of the May 24 plant sale was over $5863. 2,884 plants were sold. This was an average of $2.01 per plant. There were fourteen (14) individual club members were contributors to the sale. Most of the sales came from the UWRF plants. Checks to club members and UWRF are not included in the reports expenses.

Total net worth as of today is $10,503.74.

This consists of the following accounts:
Checking Account = $99.61
Savings Account = $6,565.49
Certificate of Deposit = $3,824.48
Petty Cash = $10.00
Stamps = $4.16

Activity since the last meeting on May 5 was as follows:

Net increase of $5858

Income of $5910
Memberships 2003 = $ 40 (3 x $10 members 2003 & 1 x 2004)
Guest fees = $6 (Three guests at May meeting)
Gross Plant Sale $ 5,863 (2,884 plants sold @ avg of $2.01 each)

Expenses of $52:
Speaker fees = $0 ($85 June fee to be booked next time)
Plant sale split = $0 (Est of $2884 to be booked next time)
Postage = $21 (Mail June newsletter x 51 + misc.)
Print & Copy Costs = $15 (June newsletter production)
Plant sale costs = $16 (Wood sticks, tape, other supplies)

There was some discrepancy between the stick count and the actual money brought in from the plant sale. Mae proposes to distribute the money according the proportion of sales. A certain percentage would go to UWRF, members contributors, and the club. The amount of the discrepancy is $62.

Susan R moves that we accept Mae's proposal, seconded by Ursula P. Motion passed.

Mae will send out checks to club members who contributed plants to the sale in June.

Old Business

The Plant Sale
Ursula P thanked everyone for all the help with the sale, especially those who helped clean up.

Things discussed about the sale:

During the set-up time, extra help was needed to set up and cover tables. With more help, the plants that were being brought in, could have been put on the tables but the tables were not ready.
There needs to be tables during set-up so club members can mark plants.
We could have used four check out lines at the beginning of the sale, which was the peak sale time.
We need extra people to take over cashier duties during and after the peak sale time as the cashier job is very stressful and cashiers need a break.
We had more than enough carry out boxes. This was better than to having enough.
Left-over member plants will be used for Habitat for Humanity.
It was suggested that perhaps members could exchange left over member plants at the end of the sale.
It was noted that it is a good idea to tell people what the plant sale money goes for - improvement of the community. Next year, we should have a sign that does just that.
Next year, signs need to be put in the parking spaces closest to the building. People cannot park in these spaces due to national security concerns.
Set-up time is early for people who work. Perhaps next year, we could get a scout or school group to help.
As half of the UWRF plants were not sold and had to be returned, we need to think about have many and what types of UWRF plants we need for next years sale.

As there were many unresolved issues about the plant sale, it was decided that a committee should be formed to discuss the plant sale in detail at a future date.

No other old business.
